The challenge

Syspro Limits and Heavy Manual Work

Syspro sits at the heart of Ira Green’s operations, but out of the box it could not handle the level of automation the business needed. Creating and updating sales orders meant either:

  • Manually entering hundreds or thousands of orders, or.
  • Directly editing the SQL database, which would bypass normal Syspro transactions and audit trails.
  • For EDI, Ira Green relied on a third‑party tool recommended by Syspro (Catechus). It worked, but it was slow, could duplicate orders, and offered little control over checks, like control totals before loading files.

As the company grew, this model would have required multiple people just to key in orders and manage EDI each morning.

They needed a way to:

  • Generate orders and mass updates inside Syspro without manual entry.
  • Handle EDI in a controlled, auditable way.
  • Keep the core team focused on higher‑value work instead of data capture.
  • Flowgear stood out because it was one of the few platforms that talked directly to Syspro without another middleware layer in between.
The solution

Flowgear As The Automation Layer For Syspro, EDI, And Magento

With a strong SQL background, Dan was able to pick up Flowgear quickly, using a small amount of initial guidance from the Flowgear team. Within a few weeks, he was building workflows on his own.

Today, Flowgear:

  • Creates sales orders and applies mass changes in Syspro from SQL‑driven logic and XML payloads, so large price updates or order batches run in minutes instead of weeks of manual entry.
  • Drives Ira Green’s entire inbound EDI flow, replacing Catechus. EDI files are converted to XML by their EDI partner, then Flowgear parses and stages the data, runs checks to avoid duplicates, calculates control totals, and finally creates Syspro orders.
  • Connects Syspro and Magento, keeping inventory in sync between the ERP and e‑commerce channel, and even supports label creation and other operational tasks.

Because the workflows were built from the ground up in Flowgear, Dan embedded all the safety nets and controls the business wanted: no duplicate orders, clear control totals before loading EDI, and complete traceability of each transaction through Syspro.

The results

Fewer Manual Tasks, Faster EDI, And A Leaner Operation

Flowgear has become central to how Ira Green runs daily operations.

Instead of needing several people to key in orders and manage EDI imports each morning, Flowgear now handles:

  • Order generation and updates in Syspro driven by intelligent models rather than manual entry.
  • Roughly half of the previous EDI workload time, with control totals available before files are loaded so leadership can see expected revenue at a glance.
  • Automated dropship onboarding for new partners: once Dan sets up the back end in Flowgear, incoming orders flow straight through without daily human intervention.

Dan describes Flowgear as one of the single biggest difference‑makers they have implemented, to the point that the team worries about how they would operate without it.

Looking ahead

Freight Consolidation, New Partners, And Richer Shipping Logic

Ira Green continues to expand how it uses Flowgear.

Next on the roadmap:

  • A freight consolidation project that uses Flowgear to help decide how to group items into fewer, better‑packed boxes, cutting shipping costs and optimising parcel sizes and counts.
  • More automated order generation for new dropship partners, keeping onboarding consistent and low‑touch.
  • Potential use of Flowgear’s MCP server and a FedEx connector to support the freight optimisation work, once available.

Flowgear is now the default place Dan turns when he needs to design new automated flows around Syspro, EDI, and shipping.
